Creating a Signature and Color-Coding E-mail Addresses in

Hello again!

As a follow-up to last week’s Outlook tip, we have two more tips this week that will boost your knowledge and efficiency in Outlook.First, we will show you how to create a signature in Outlook.Then, we will explain how to color-code e-mails by sender, to denote importance or urgency.

Creating a signature in Outlook

Everyone has different ways of closing your e-mail messages, and for many people, it is the same way each time.It can be your name and your title, a message, or a favorite quote.Regardless, stop wearing out your keys typing the same thing over and over again!You can create a signature that will appear at the bottom of all of your e-mails, just by clicking a button!

  1. On the Tools menu in Outlook, click Options, and then click the Mail Format tab.
  2. Under Message Format, In the Compose in this message format list, select HTML.
  3. Under Signatures, click Signatures, and then click New.
  4. In the Enter a name for your new signature box, enter a name (for example, Elon) and click OK.
  5. In the Edit Signature box, type the text you want to include in the signature. You can also paste text to this box from another document.
  6. To change the paragraph or font format, select the text, click Font or Paragraph, and then select the options you want. These options are not available if you use plain text as your message format.
  7. Under Choose Default signature, you can choose which email account you want the signature used for (choose Microsoft Exchange for it to be associated with your @elon.edu account) and when you want it to be used (new messages and/or replies/forwards).
  8. Click OK when you are done editing the new signature.

If your signature does not come up automatically, click the Signatures button in the Include menu in the top ribbon of your e-mail, then click on the name of your signature, and it will come up in the bottom of your e-mail.

Color-Code an Individual Sender’s E-Mail Messages

Oftentimes, there are e-mails from certain people that are always more important than others.Whether it is from your boss or your best friend, there are some e-mails that require a more urgent response than others.Wouldn’t it be nice if when you opened your inbox, you could see different colors for different people? For example, red for your supervisor and blue for your co-workers?Well, you can!You can color-code your incoming e-mail to spot quickly what’s important.

1. In your mail items in Outlook, click one time on an e-mail message (from a user that you want their emails to be a different color) to select it. For example, you may select an email from your supervisor.

2. Click Tools.
2. Click Organize.
3. Click Using Colors, and then select your color of choice.

4. Click Apply Color. All future e-mails from that sender will appear in that color.

5. Click the X in the upper right hand part of the Ways to Organize Inbox area to close the formatting settings.
