Assistant Director, Service-Learning, Duke University

Position Responsibilities:

Leadership/planning – 20%

  • Oversee day-to-day operations and serve as the face of the program.
  • Think strategically about the direction of the program. Bring critical issues to the attention of the Director.
  • Make recommendations regarding organizational structure.
  • Schedule and lead regular team meetings and periodic planning retreats. Develop agendas , record and communicate decisions/outcomes, and follow-up on action items.
  • Determine the needs of service-learning faculty, students, and community partners and recommend program activities. Guide the team in developing evaluation questions and methods. Evaluate activities and recommend changes.
  • Stay abreast of developments in the service-learning and civic engagement fields. Participate in regional meetings and professional development opportunities for civic engagement administrators.

Budget/finances – 10%

  • Develop annual budget request, based on historical data and projected needs.
  • Analyze monthly expenses and keep Director apprised of unforeseen circumstances.
  • Work with the departmental business manager to complete funding transactions.

Human Resources – 15%

  • Develop new position descriptions, facilitate approval process, and manage recruitment and hiring of staff, working with departmental business manager as needed.
  • Develop offer letters/contracts/memoranda of understanding for CBLI Director, Faculty Scholars, Student Liaison/Facilitator, and Communications & Events Specialist.
  • Supervise part-time Communications & Events Specialist. Submit annual performance rating to departmental business manager and conduct performance reviews. Recommend and approve professional development activities.
  • Recruit, interview, hire, train, and supervise a cohort of 8-15 (primarily graduate student) Service-Learning Assistants (SLAs) each semester. Meet with them on a monthly basis and provide resources, feedback, and coaching as needed. Approve their time/submit supplemental payments. Make decisions re: continuation or termination.
  • Facilitate meetings of the Faculty Scholars with the Director.

Systems and records – 20%

  • Manage the process of administering the SL course designation each semester:
    • Update label application and publicize call for proposals.
    • Facilitate review of proposals and communicate decisions to faculty.
    • Work with the Registrar’s Office, the Arts & Sciences curriculum office, and departmental DUSes/DUSAs to correctly label courses in STORM/ACES.
  • Develop and maintain a historical database of service-learning courses, faculty, and community partners.
  • Develop and maintain a system for tracking faculty consultations.
  • Develop and maintain a system for accessing student enrolment data for service-learning courses.

Programmatic activities (Support for faculty, students, and community partners) – 15%

  • Support faculty consultants in planning and implementing the Service-Learning Faculty Fellows Program: Facilitate planning meetings and identification of goals. Develop evaluation questions and tracking tools. Propose timelines and schedule workshops. Publicize the program. Issue stipends to Fellows.
  • Develop relationships with community organizations and assist faculty consultants with identifying appropriate community partners as needed.
  • Communicate important policies and procedures to service-learning faculty. Advise faculty regarding course logistics. Develop resources for faculty, students, and community partners as needed.
  • Manage the process for requesting course funding. Remind grant recipients of expectations and request funding reports.
  • Serve as the official advisor for  student groups associated with Duke Service-Learning. Maintain regular contact with the group’s leaders, providing mentorship and support. Work with leaders to identify projects and programs that complement the goals of Duke Service-Learning. Assist the group in following Duke policies and guidelines. Assist with the administration of finances.
  • Coordinate and administer program awards: Update award selection criteria, circulate the call for nominations, manage the selection process, plan recognition events.
  • Plan, coordinate, and administer other activities on an as-needed basis.

Communications/marketing – 10%

  • Manage the development of the program’s key communications messages and goals, and program “brand.”
  • Manage the work of the Communications and Events Specialist and maintain responsibility for:
    • Publicizing service-learning courses
    • Management of the program’s website
    • Use of the program’s social media accounts
    • Production of a monthly e-newsletter for faculty and staff
    • Production of a biweekly e-newsletter for students
    • Outreach to new students
    • Design and production of marketing materials such as bus posters, flyers, and postcards
    • Representing the program at informational fairs
    • Publicizing the outcomes of service-learning courses and projects, and the relevant achievements of service-learning faculty
    • Production of an annual report and brochure
  • Plan and deliver informational presentations about the program to faculty, staff, students, and the public, e.g., DUS meetings, pre-major advisors, Admissions officers, New Student Orientation events.

Events – 10%

  • Manage the work of the Communications and Events Specialist and maintain responsibility for planning and hosting events:
    • Annual Context & Connections tours for faculty: Refine goals and objectives. Recruit and communicate with tour leaders, co-sponsors, faculty participants, and community leaders.
    • Workshop series and other faculty professional development events (e.g., teaching showcase)
    • Campus-wide/public events (e.g., Transcripts & Lifescripts Monologues, conversations with the Dean, guest speakers)

Facilitate planning with other team members. Publicize events. Manage logistics.

In addition, ideal candidates will have one or more of the following:

  • Two or more years of experience in higher education, ideally in a service-learning or civic engagement program
  • Experience developing budgets and tracking expenses
  • Experience advising students, and/or hiring and supervising work/study students
  • Experience developing institutional relationships with community organizations
  • Experience with public speaking and making presentations to students, faculty, and the general public
