Chief of Staff and Assistant to the Executive Director, Florida Campus Compact

Florida Campus Compact (FL|CC) is anticipating a vacancy for a full-time professional to serve as Chief of Staff and Assistant to the Executive Director. Compensation is expected to be in the low to mid $30’s plus benefits that may include tuition waivers for continuing educational opportunities at a state university. The Chief of Staff/Assistant to the Executive Director will be involved in nearly every aspect of our operation for the primary purpose of 1) supporting our staff in their professional development and progress toward the implementation of our overall mission; 2) ensuring office-wide compliance with applicable laws and procedures; and, 3) keeping the Executive Director abreast of current happenings, important developments and/or areas in need of improvement, while offering administrative support and often serving as the Executive Director’s liaison with internal/external stakeholders.

Responsibilities:

• Provides assistance and represents the Executive Director, as appropriate, by serving as the primary point of initial contact for internal and external constituencies.
• Works with all internal staff across all programs, to advance our culture of proactive collaboration, respect and on-going professional development while also maximizing efficient and effective productivity.
• Interacts with program directors and support staff to be certain that proper procedures and training protocols are implemented, convening cross-functional teams as needed to advance the organizational mission, and proactively minimizing/addressing any internal conflict as necessary.
• Takes the lead on problem solving and troubleshooting as necessary in day-to-day office operations.
• Serves as the primary liaison with our host institution to confirm adherence to all policies, primarily those under the umbrella of Human Resources.
• Oversees the administrative functions of our office to verify conformance with all applicable laws and policies, specifically regarding purchasing, travel, etc
• Supports the Chief Financial Officer and Chief Grants Administrator to assist in compliance with all laws and policies related to finance and grants.
• Serves as the primary liaison with external Office of Information Technology (IT) while providing technology support to internal staff.
• Works with program directors to coordinate the gathering of information necessary to compile quarterly and annual reports to external stakeholders. Generally this is for the purpose of establishing ROI and demonstrating performance/impact for funders, member campuses, the Florida Legislature/Governor, the US Congress, state/federal offices and the national office of Campus Compact.
• Acts as the Executive Assistant to the Executive Director in all matters, often serving as the ED’s liaison with internal and external stakeholders through written and verbal communication. Providing administrative support to the Executive Director such as scheduling, travel, technology, record keeping etc.

• Proficient with technology to ensure the office is technologically efficient (Microsoft Office Suite for PC and Mac) and the expertise to serve as the office liaison with external Information Technology staff to troubleshoot, plan replacement schedules, look for new technologies etc.

Preferred Qualifications:
A master’s or bachelor’s degree, ideally in the areas of Non-Profit Management, Business Administration, Public Administration, Education or a related field. Four years of progressively responsible professional level experience as an Executive Assistant to a CEO, office management, human resources, higher education, or a combination of experience in the aforementioned fields. Experience in event planning and providing logistical support for conferences, meetings, banquets, and special events. An understanding of higher education in Florida and familiarity with the concepts of service-learning and civic engagement.

Minimum Qualifications:
A Master’s Degree, or a Bachelor’s degree and at least 2 years of office experience, or a combination of post high school education and experience equal to six years. Appropriate college coursework or vocation/technical training may substitute at an equivalent rate for the required experience.
Self-directed with strong interpersonal, leadership and communication skills. Previous experience working in an office setting. Computer skills to include experience with Windows XP, and Microsoft Word, Excel, and Outlook or comparable software. The ability to apply basic accounting principles. Must be able to provide leadership and direction while supervising others. The successful candidate must be detail focused and organized; able to meeting deadlines; able to multi-task and prioritize in a fast-paced environment while maintaining a professional and positive attitude; able to effectively communicate in both written and verbal interactions; and able to be flexible as well as diplomatic.

Other Information:
This position is located in Tallahassee, FL off-campus near the intersection of Capital Circle and Miccosukee. Travel and overtime may be required during conferences or to meet project deadlines.

Requirements:
Position requires a FDLE Background Check Level 1 (police background check). “Safeguarding of Confidential Financial and Personal Information.” A valid Florida Driver’s License. The ability to travel and work extended hours when necessary.
